MINUTES

Commencement Ceremonies: Commencement ceremonies will be this Friday, December 15 at the Waco Convention Center. College Relations has been working on making the ceremony run smoother. The graduates should arrive at 5:45 p.m. and faculty should arrive at 6:45pm. This semester’s graduation packet included information on parking. Robert Gamboa will make seating announcements as it gets closer to the start time.

There are 349 potential graduates.

Charles Reed will be in charge of the Board of Regents Honor Roll graduates.

There has been some confusion on whether or not a ramp or lift should be available even if no accommodations have been requested.

ACTION: It is the opinion of the President’s Council that accommodations need to provided only if they are requested and that a lift can be rented to assist anyone in a wheelchair.

 

REVIEW OF COPs FROM THE NOVEMBER PRESIDENT’S COUNCIL MEETING

COPs on Hold: The following is a list of COPs still on hold from the November meeting: COP 1.43, COP 4.1, COP 4.14, COP 7.8 and 7.30 . These COPs will not be reviewed until the January President’s Council meeting.

COP 6.1: This COP on Family Housing has been revised and is pending approval from the President’s Council. This COP will need to be revised again later in the year.

COP 3.1: This COP on Business Office Administration has been revised and is pending approval from the President’s Council. This COP will need to be revised later in the year.

COP 3.2: This COP on Purchasing Goods and Services has been revised and is pending approval from the President’s Council. This COP will need to be revised later in the year.

New COP: This new COP on Non-disciplinary Grievance Procedure was presented to the President’s Council for approval.

New COP: This new COP on Contractors Safety was presented at the President’s Council for approval.

New COP: This new COP on Personal Protective Equipment Program was presented at the President’s Council for approval. It will be put on hold until the January meeting.

COP 9.3: This COP on Control of Hazardous Energy (Lockout/Tagout) has been revised, and was presented at the President’s Council for approval.

COP 2.15: This COP on Nepotism has been revised, and was presented at the President’s Council for approval. It will be put on hold until the January meeting.

COP 2.17: This COP on Identification Cards has been revised, and was presented at the President’s Council for approval. It will be put on hold until the January meeting.

COP 2.2: This COP on Employment Procedure has been revised, and was presented at the President’s Council for approval.

COP 2.25: This COP on Workers’ Compensation Insurance has been revised, and was presented at the President’s Council for approval. It will be put on hold until the January meeting.

COP 2.37: This COP on Recognizing Retirees has been revised, and was presented at the President’s Council for approval.

COP 2.39: This COP on Employee Recruitment has been revised, and was presented at the President’s Council for approval.

COP 2.45: This COP on Light Duty Assignments has been revised, and was presented at the President’s Council for approval.

COP 2.5: This COP on Clearing Campus upon Termination of Employment has been revised, and was presented at the President’s Council for approval.

ACTION: The COPs presented by Rich Morris will be reviewed by the President’s Council and voted on during the January meeting.

TONI HERBERT

COP 1.49: This COP on Report and Data Coordination through the Institutional Effectiveness, Research, and Planning Office has been revised, and was presented at the President’s Council for approval.

COP 1.50: This COP on External Funding has been revised, and was presented at the President’s Council for approval.

ACTION: The COPs presented by Toni Herbert will be reviewed by the President’s Council and voted on during the January meeting.

COP 7.2: This COP on Grants and Contract has been revised, and was presented at the President’s Council for deletion.

ACTION: Motion to Approve: Elton Stuckly, Dean of Instruction

Result: The deletion was approved unanimously.

KELLY CRAINE

COP 1.1.1: This COP on the Approval of TSTC Waco College Operating Procedures has been revised, and was presented at the President’s Council for approval.

COP 1.1: This COP on Records Management has been revised, and was presented at the President’s Council for approval.

Results: All were approved unanimously.

DR. MARTHA ELLIS

SACS Update: The SACS conference in Atlanta went well. Wanda Stacha has agreed to be the recorder for the SACS committee. Dean Stuckly brought back two books for members of the President’s Council to read.

It is important that all personnel files are as up to date as possible. Official transcripts for all faculty members need to be on file. Those who don’t have degrees must have a letter of exception with the President’s signature placed in their file.

ACTION: Human Resources will do a search of the files to determine if they are complete. The search will be done on an annual basis.

 

JAY TEAKELL

Audit: The State Office of Risk Management audit was last week and went very well.

Account Numbers: The account numbers for the new fiscal year will remain the same as this year’s numbers. This may create some confusing. Financial Services may make June the cut off date for purchases. The cut off date for spending Perkins funds is July.

WANDA STACHA

COPs: The approved COPs will be distributed in January.

Computer Virus: Beware, a computer virus has struck Human Resources.

WATERTOWER UPDATE

OSHA is still investigating the site.
